This page explains how CliniTech accounts, clinic access, patient records, and account closure are handled. For more detailed information about personal-data processing, see the Privacy Policy.
1. Your CliniTech Account
A user may create a CliniTech account before belonging to a clinic.
To use the clinic-management features of CliniTech, a user must create a clinic or be invited to an existing clinic.
Clinic Administrators can invite authorized staff members and manage their access according to the roles and permissions available in CliniTech.
2. Staff Access
When a staff member no longer works with a clinic, their access can be removed or deactivated.
Removing a user's active access does not necessarily remove their identity from historical records.
For example, CliniTech may retain information showing which user created or changed a visit, treatment record, patient record, or other clinic information where this is necessary for medical-record integrity, audit history, security, or legal obligations.
3. Patient Records
Patient information entered into CliniTech is managed by the clinic responsible for that patient.
Clinics can manage patient records according to the functionality available in CliniTech.
Removing or archiving a patient from active use does not necessarily result in immediate permanent destruction of the patient's clinical information.
Medical records may be subject to mandatory retention periods and other legal requirements.
Patients seeking access to, correction of, or deletion of information contained in their medical record should normally contact the clinic responsible for their care.
4. Clinical Records and Files
Clinical information may include visits, treatment plans, procedures, dental records, referrals, follow-ups, notes, and uploaded files.
CliniTech stores sensitive clinical files in private application storage and provides access through authenticated and authorized application endpoints.
Access to clinic information is controlled according to clinic membership, roles, and permissions.
5. If a Clinic Stops Paying
Stopping payment does not automatically delete clinic information.
Depending on the clinic's subscription status and applicable billing rules, the clinic may enter a read-only state.
In read-only mode, authorized users may continue to view information, but actions that create or modify records may be restricted.
If the subscription is restored, normal access may be restored according to the applicable subscription terms.
6. Closing a Clinic Account
Stopping payment and permanently closing a clinic account are different actions.
A clinic wishing to formally close its CliniTech account may contact:
We may verify that the request comes from a person authorized to act on behalf of the clinic.
Closing a clinic account does not necessarily mean that all patient and clinical information can be immediately and permanently destroyed.
Applicable healthcare, medical-record, tax, billing, security, contractual, and other legal retention requirements may require certain information to be retained.
7. Data Access and Export
Clinics remain responsible for their patient and clinical records.
Where export functionality is available within CliniTech, authorized users may use those tools to obtain supported records or documents.
A clinic that requires additional assistance accessing its information may contact CliniTech Support.
8. Permanent Deletion
Permanent deletion requests are evaluated according to the type of information involved and applicable legal requirements.
Information may not be permanently deleted where retention is required or permitted for purposes such as:
- medical-record retention;
- legal or regulatory obligations;
- billing and tax records;
- security and fraud prevention;
- audit history;
- establishment, exercise, or defense of legal claims.
Where permanent deletion is legally permitted and appropriate, CliniTech may delete or anonymize applicable information.
9. Delete Your CliniTech Account
You can request deletion of your CliniTech user account at any time.
In CliniTech
Open Profile and use the Delete Account option.
Without access to the app
Send an account deletion request to support@clinitech.app from the email address associated with your CliniTech account. We may verify your identity before processing the request.
When a user account is deleted, CliniTech deletes or anonymizes personal data associated with that account where deletion is legally and operationally permitted.
Certain information may be retained where necessary for medical-record integrity, legal or regulatory obligations, billing and tax records, security, fraud prevention, audit history, dispute resolution, or legal claims.
Patient and clinical records associated with a clinic may therefore be subject to separate retention requirements and may not be deleted solely because an individual staff user account is deleted.
10. Request Deletion of Your Data
You may also request deletion or correction of eligible personal data without deleting your entire CliniTech account.
To make a data deletion request, contact support@clinitech.app from the email address associated with your account and describe the data you want deleted.
We will delete or anonymize eligible data where permitted. Some information may need to be retained for medical, legal, regulatory, billing, security, audit, or other legitimate retention requirements.
